Mentor Cardinal Pin Club Overview

The Mentor Cardinal Pin Club exists to:

a)To develop student and communityinterest in all Mentor Wrestling athletic programs.

b)To promote interest and attendance at all Mentor Wrestling school district events and competitions.

c)To conceive, create and develop ideas, projects and other assistance to further the athletic program and to improve the athletic facilities in the Mentor school district with a focus on the student athlete.

d)To be organized and operated exclusively for the charitable and educational purposes related to the Mentor High Wrestling athletic program.

e)To help maintain and improve communications and cooperationbetween and among parents, coaches, teachers, students, student athletes, athletic director, administrators, and the School Board for the advancement and improvement of the interscholastic Wrestling programs in the Mentor school district.

f)To raise funds to be utilized for supporting Mentor Wrestling student athletes and the Wrestling program

MENTOR CARDINAL PIN CLUB OFFICERS:

The officers of the MENTOR CARDINAL PIN CLUB shall consist of a Past-President, President, a Vice President, a Secretary, and a Treasurer, and other officers as the Board of Directors may from time to time elect. Not more than one office may be held simultaneously by the same person.

The MENTOR CARDINAL PIN CLUB shall be elected every two years by the membership. Each officer shall hold office for two years, with the exception of the past-president, or until his/her successor shall have been elected and qualified. Each officer may only serve two (2) consecutive terms, with the exception of the treasurer and past-president.The treasurer will be eligible to serve up to three (3) consecutive terms, if elected by a majority vote of the membership. The past-president will serve one(1) year as past president and does not have to be elected into the position. The past-president is eligible for election onto the board or as an officer of the board at the next election cycle.

 

Board Positions

President

The President shall be the principal executive officer of the Board of Directors and, subject to the control of the Board of Directors, shall perform the following duties:

Preside at all meetings of members of the Mentor Cardinal Pin Club

Compose the agenda for all monthly meetings

Recruitment/selection of chair persons of committees and ad hoc committees, and supervise the committees that fall under the office of the president

Issue reminder for monthly meetings (via Secretary,email)

See that elections are held in accordance with the By-Laws

Oversee maintenance and compliance of bylaws

Shall appoint any temporary committees a she/she deems necessary to carry out the objectives of the Club

 

Vice President.

In the absence of the President or in the event of the vacancy of the office of the president the Vice President, unless otherwise determined by the Board of Directors, shall perform the duties of the President as President ProTem, and when so acting shall have all the powers of and be subject to all the restrictions upon the President. The Vice President shall perform such other duties as from time to time may be assigned to him by the President or Board ofDirectors, as well as the following:

Recruitment/selection of chair persons of committees and supervise the functions of committees

Advise, support and communicate with all standing committees that fall under the office of the Vice-President

Oversee maintenance and compliance of bylaws

Will oversee nominations and elections of officers and board members

Handle contract administration for concession stand use and forward signed contract to Secretary

 

Secretary.

The Secretary shall:

Record the minutes of all meetings and distribute minutes via email to members after meeting

Conduct all correspondence for theMentor Cardinal Pin Club under the direction of the President

Keep attendance at all meetings

Keep a log of approved decisions with the agenda attached

Notify all members of meetings

Recruitment/selection of chair persons of ad hoc committees and supervise the functions of committees assigned to the office of the secretary

Oversee maintenance and compliance of bylaws

 

Treasurer.

Maintain the booster club checking account and investment account

Balance bank statements monthly

Process account payable payments as received

Send billing invoices as needed

Deposit all income generated from various activities

Distribute cash box change for concession stand sales

Count all proceeds and make deposits in a timely fashion

Work with Athletic Director to track individual sport “wishlist/uniform” requests

Report monthly all income/expense activities to board members

Keep a log of approved funds separate from the meeting minutes

Maintain/store financial records for a minimum of five years .

Process calendar year reports for tax preparer. Make sure papers are filed with the IRS.

Recruitment/selection of chair persons of committees and supervise the functions of committees assigned to the office of the treasurer

Oversee maintenance and compliance of bylaws

Assist president/vice president/secretary with other duties as needed
